Entering Holidays in Workday

There have been a number of questions by members of the campus community about entering holiday time into the new Workday system. The information below is being provided to answer some of the questions. If, after reviewing this information, you have remaining questions, please feel free to contact the Department of Human Resources at HR@ualr.edu.

*There was previously a glitch in Workday causing some faculty members to show as 75% appointed and that caused their holiday hours to accrue at 6 hours rather than 8. That has been corrected by the Project One Team. If your holiday hours are still accruing at the rate of 6 hours, please call Human Resources and we will be happy to get that error corrected.

Faculty
  • 9 Month
    • Faculty who are on a 9-month contract should enter holiday time during the months they are on contract (August 16 – May 15). If a holiday falls outside of the contract period, faculty do not have to enter it. Although faculty are on break over the winter, this period is part of the contract period, so the winter holidays should be entered.
    • Faculty who are working outside of their contract period during the summer (May 15 – August 15) should NOT enter holiday time.
  • 10-month A
    • Faculty who are on a 10-month contract (July 16-May 15) should enter holiday time during the contract period. This includes winter holidays.
    • Faculty who are working outside of their contract period in the summer between May 16 – July 15 should NOT enter holiday time.
  • 10-month B
    • Faculty who are on a 10-month contract (August 16 – June 15) should enter holiday time during the contract period. This includes winter holidays.
    • Faculty who are working outside of their contract period in the summer between (June 16 – August 15) should NOT enter holiday time.
  • 10.5-month A
    • Faculty who are on a 10.5-month contract (July 1 – May 15) should enter holiday time during the contract period. This includes winter holidays.
    • Faculty who are working outside of their contract period in the summer between (May 16 – June 30) should NOT enter holiday time.
  • 10.5-month B
    • Faculty who are on a 10.5-month contract (August 16 – June 30) should enter holiday time during the contract period. This includes winter holidays.
    • Faculty who are working outside of their contract period in the summer between (July 1 – August 15) should NOT enter holiday time.
  • 12-month
    • Faculty who are on a 12-month contract (July 1 – June 30) should enter holiday time for every holiday.
FULL-TIME BENEFITS-ELIGIBLE EMPLOYEES

Faculty who are on a 12-month contract (July 1 – June 30) should enter holiday time for every holiday.

EMPLOYEES ON LEAVE WITHOUT PAY

Employees who are on Leave Without Pay (LWOP) are not eligible for holiday pay, so they should not enter any holiday time while on LWOP.

EMPLOYEES ON PAID LEAVE STATUS

Employees on paid leave status including Catastrophic Leave, OCDA, and Military Leave should enter holiday time.
