No Cost TA’s Discontinued

In the past, we have required employees who travel on university business that did not have reimbursable travel expenses to complete a No Cost TA. This ensured that the employee was covered under the UA System’s Accidental Death & Dismemberment Insurance Policy while on errands, traveling locally or regionally, etc. Because No Cost TA’s are not supported in Workday, a new process would have had to be developed.

Upon checking with the System Office, it was discovered that the UA System has a new AD&D insurance provider and requirements for coverage eligibility are not as stringent. Therefore, as long as employees are on a bona fide business trip, with no reimbursable expenses, they will be covered by AD&D insurance and written travel authorization (formerly No Cost TA) is unnecessary. A business trip is defined as a bona fide trip when an employee is “on assignment or at the direction of the Policyholder to further the business of the Policyholder.”

Please note that this does not negate the requirement for all individuals conducting business on behalf of the university to be authorized to drive as outlined in the University of Arkansas System Vehicle Safety Program. Further, all reimbursable travel must still be pre-approved pursuant to Policy 308.7-Employee Travel.
